In these Terms, “The Club”, “HR World Media”, “we”, “us” and “our” refer to HR World Media Kft.
The Club is an invitation-only series of private executive dinners, roundtables and related gatherings designed to bring together senior HR and business leaders for focused peer discussion.
Individual Clubs may be developed in partnership with an exclusive commercial partner or sponsor.
Information on this website about forthcoming Clubs, locations, contributors, organisations, topics or formats is provided for information and may be updated or changed.
Submitting an enquiry or registering interest does not create a binding agreement with HR World Media.
Commercial arrangements with sponsors and partners are governed by the applicable proposal, order form, sponsorship agreement or other written agreement. If those terms conflict with these Terms, the specific written commercial agreement takes precedence.
Participation in The Club is generally by invitation or approval by HR World Media.
We may determine eligibility for an individual Club based on factors including seniority, professional role, organisation, industry, geography or the audience criteria established for that Club.
An invitation is personal to the recipient and may not be transferred without our prior approval.
We reserve the right to decline, withdraw or cancel participation where reasonably necessary, including where eligibility criteria are not met, information supplied during registration is materially inaccurate, participation would compromise the intended composition of the group, or conduct is disruptive or inappropriate.
The Club is intended to create an environment in which participants can exchange views openly.
Unless otherwise stated for a particular Club, participants may use the general knowledge, ideas and insights obtained during discussions but should not attribute statements, opinions or information to another participant or their organisation without that participant’s permission.
Participants should not disclose confidential, proprietary or commercially sensitive information belonging to another participant which is clearly identified as confidential or which a reasonable person would understand to be confidential.
HR World Media cannot guarantee that another participant will comply with these expectations. Participants should therefore exercise appropriate judgement when sharing confidential or commercially sensitive information.
Where a particular Club operates under additional confidentiality rules, including the Chatham House Rule or a separate confidentiality agreement, participants will be informed accordingly.
Participants, contributors, sponsors and their representatives are expected to behave professionally and respectfully toward other participants and event staff.
Harassment, intimidation, discrimination, aggressive behaviour, persistent unwanted solicitation or conduct that materially disrupts the experience of other participants may result in removal from the Club.
HR World Media may take reasonable steps necessary to protect participants, staff, venues and the integrity of the event.
An individual Club may be supported by an exclusive sponsor or commercial partner.
Sponsor representatives may participate in discussions, presentations, case studies and networking activities as described for the relevant Club.
The presence of a sponsor does not imply that participating executives or their organisations endorse the sponsor, its products or services.
Sponsors may not represent participation by an executive or organisation as an endorsement without that person’s or organisation’s express permission.
Sponsor rights, deliverables and permitted use of The Club branding, participant information and event materials are governed by the applicable sponsorship or partnership agreement.
As part of organising a Club, HR World Media may collect professional information including a participant’s name, job title, organisation, business contact information, professional profile, dietary requirements and information necessary to administer participation.
Where clearly disclosed to the participant and permitted under applicable data protection law, selected participant information may be provided to the commercial partner or sponsor associated with that Club.
Where participant consent is relied upon for sharing personal contact information for sponsor follow-up or marketing, such sharing will occur only where the participant has provided the required consent.
The information shared may include, depending upon the consent or other applicable lawful basis:
name; job title; organisation; business email address; business telephone number; professional profile information; and information relating to participation in the relevant Club.
Sponsors receiving personal information are responsible for processing that information in accordance with applicable data protection and electronic marketing laws and their own privacy obligations.
Sponsors must not sell participant information, disclose it to unrelated third parties, use it for purposes incompatible with those communicated to participants, or use it in a manner that would reasonably be considered excessive or inappropriate.

For the purpose of facilitating discussion and professional networking, HR World Media may provide participants with limited information about other attendees, such as name, job title and organisation.
Participant lists are provided for use in connection with the relevant Club and must not be copied, sold, published, uploaded to databases or used for mass marketing or unrelated commercial purposes.
Unless separately authorised, the inclusion of an individual on a participant list does not constitute consent to receive marketing communications.
Photography, video recording or audio recording may take place during a Club.
Where required, participants will be informed in advance or during registration and appropriate consent will be obtained for identifiable photography, video or audio recording and its intended uses.
Subject to the permissions obtained, HR World Media may use approved photographs or recordings to document and promote The Club and HR World Media, including through websites, social media, presentations, event materials, editorial content and future marketing communications.
Where appropriate, participants will be given a reasonable method to indicate that they do not wish to appear in identifiable promotional photography or video.
A participant who does not wish to be photographed or recorded should notify HR World Media before the event or inform the event team onsite.
Sponsors, participants and guests may not commercially publish, record or livestream private Club discussions without prior permission from HR World Media and, where appropriate, the individuals concerned.
Participants may provide HR World Media with their name, job title, organisation and professional biography for purposes connected with the relevant Club.
Where appropriate, HR World Media may use this information to administer the event and to identify confirmed participants or contributors in event communications and materials.
We will not represent that an individual’s employer sponsors, endorses or formally participates in The Club solely because one of its executives attends.
Use of corporate logos for promotional purposes may be subject to separate permission or agreement.
Participants who agree to act as speakers, moderators, panellists or case-study contributors may be identified publicly in connection with the relevant Club.
Unless otherwise agreed in writing, contributors retain ownership of their underlying intellectual property and proprietary materials.
By supplying presentation materials to HR World Media, contributors confirm that they have the necessary rights to use the material supplied and grant HR World Media permission to display and distribute those materials to the extent reasonably necessary to deliver the relevant Club.
Any wider publication, recording or reuse of contributor content will be subject to the permissions or agreements applicable to that Club.
HR World Media may make reasonable changes to a Club where circumstances require, including changes to timing, venue, discussion format, contributors, participants or programme content.
Where an event cannot proceed because of circumstances outside our reasonable control, we will communicate with affected participants and sponsors as soon as reasonably practicable.
Financial consequences relating to cancellation, postponement or changes to a sponsored Club are governed by the applicable commercial agreement.
Participants are responsible for informing HR World Media of relevant dietary requirements, allergies or accessibility requirements within the requested timeframe.
We will make reasonable efforts to communicate such requirements to the venue or relevant supplier but cannot guarantee an allergen-free environment.
Participants remain responsible for making their own assessment of food, travel or accessibility arrangements appropriate to their circumstances.
Participants are responsible for informing HR World Media of relevant dietary requirements, allergies or accessibility requirements within the requested timeframe.
We will make reasonable efforts to communicate such requirements to the venue or relevant supplier but cannot guarantee an allergen-free environment.
Participants remain responsible for making their own assessment of food, travel or accessibility arrangements appropriate to their circumstances.
Unless otherwise stated, this website and The Club’s proprietary materials are owned by or licensed to HR World Media Kft.
This includes The Club and HR World Media names and branding, website design, written content, graphic elements, reports, articles, event concepts and event materials.
You may view the website and share links to publicly available pages for legitimate personal or business purposes.
You may not reproduce, republish, commercially exploit, modify or distribute our proprietary content without prior permission except where permitted by law.
Third-party trademarks, logos and materials remain the property of their respective owners.

Liability relating to a specific sponsorship or commercial engagement is governed by the relevant written agreement.
